Every December the same question lands on someone’s desk: where do we take the team this year? Another restaurant booking is easy, but it is rarely memorable. A year-end function at a private game reserve gives your people something they will still be talking about in February – and it is easier to organise than most companies expect.
Here is a practical guide to planning a game reserve year-end function, based on how we host corporate groups at Kwantu Private Game Reserve on the Sidbury Plains, about an hour’s drive from Gqeberha.
Why a game reserve works for year-end functions
- It is a genuine shared experience. Seeing lion, elephant or rhino for the first time is something colleagues talk about together for years.
- Everyone can take part. Game drives, sport and relaxed meals suit every age, fitness level and role – from the CEO to the newest intern.
- It feels like a reward. A day or night in the bush says “thank you” far more clearly than a set menu in town.
- It is inclusive. Kwantu is fully halaal and alcohol-free, so teams of every background can relax and enjoy the same menu and venue.
Day function or overnight?
Day function
A day visit suits teams who want a memorable outing without accommodation. A typical programme starts with welcome refreshments, followed by a 2–3 hour Big 5 game drive in open Land Rovers, then lunch and team activities. Morning visits begin at 09:00 and afternoon visits at 13:00, so you can fit the day around your working week.
Overnight function
An overnight stay turns the function into a mini-retreat: an afternoon game drive, dinner and entertainment in the evening, a night in luxury accommodation and a morning drive while the bush wakes up. It is ideal for management teams, sales incentives and teams who travel in from other cities.
Conference plus celebration
Many companies combine a strategy session or year-end review with the celebration. Kwantu’s conference centre seats up to 1,000 delegates cinema-style (or 500 lecture-style), with smaller rooms for breakaway sessions – so business comes first and the game drive becomes the reward.
Team-building ideas that actually work
- Big 5 game drive challenge: split into vehicles and score points for every species you spot.
- Quad-bike rides through the bush for the adrenaline seekers.
- A sports afternoon on the historic Sidbury cricket field, with tennis and swimming for those who prefer to relax.
- Cultural performances by local Xhosa communities, sharing music, dance and storytelling (available for groups on request).
Catering for everyone
All meals at Kwantu are prepared in fully halaal kitchens, and the whole reserve is alcohol-free. That makes menu planning simple for diverse teams: there is no need for separate arrangements, and nobody is left out. Non-alcoholic drinks are served with all meals, and our team can advise on menus for larger groups.
When to book
November and December dates fill quickly – especially Fridays. As a rule of thumb, start planning six to eight weeks ahead for groups of 50 or more, and confirm numbers two weeks before the event. If your preferred date is close, contact us anyway: midweek functions are often easier to accommodate.
Your year-end function checklist
- Preferred date (and a back-up date)
- Approximate group size
- Day function or overnight stay
- Transport: self-drive or a coach from Gqeberha, Makhanda or further afield
- Any business session or speeches you need a venue for
- Dietary or accessibility requirements
